Human Resources & Administrative Assistant
40 hours per week; 52 weeks per year; Benefits eligible
Starting pay $36,600
Candidates must be fully* vaccinated against COVID-19.

Position Summary
The Human Resources & Administrative Assistant (HRAA) is a key team member to not only the Human Resources Department but also the central office of Communities In Schools of Kalamazoo (CIS). The HRAA will perform administrative tasks and provide department support such as posting job openings, scheduling interviews, updating employee records, drafting correspondence and performing various other administrative functions.
Duties and Responsibilities
Handle confidential information in accordance with confidentiality policy and ethical practices.
Post job openings, schedule interviews, and conduct other tasks related to recruitment efforts.
Employee data collection, organization and reporting from various sources.
Distribute, review and process employee paperwork.
Conduct background checks.
Ensure employee personnel files are complete.
Maintain and update current Human Resources Information System (HRIS).
Facilitate HR document retention and destruction efforts.
Respond to HR related inquiries and requests.
Create, update, and maintain various HR documents and CIS staff contact lists.
Assist with planning and facilitating employee events when needed.
Generate routine correspondence (emails, letters, faxes, forms, etc.).
Answer and direct phone calls.
Receive, log, and distribute mail.
Receive and verify deliveries.
Update and maintain the Calendar of Duties for the administrative unit.
Maintain an effective centralized filing system for both electronic and paper records.
Update and maintain office policies and procedures.
Track, organize, and maintain stock of office supplies and place orders when low.
Seek direction or clarification when needed and initiate communication when unable to or meet deadlines.
All other duties as assigned.
Knowledge, Skills and Abilities Required:
High School diploma or equivalent required.
Associate's or Bachelor's degree in Business, Management, Human Resources or related field preferred.
Exposure to Labor Law and employment equity regulations preferred.
Prior experience in a comparable position preferred.
Knowledge of office management systems and procedures.
Working knowledge of office equipment, including copiers, printers, and fax machines.
Proficiency in MS Office Suite (MS Excel, Outlook, and MS Word, in particular) or similar programs.
Excellent time management skills and the ability to organize and prioritize work independently.
Works well under pressure and meets tight deadlines.
Attention to detail and problem-solving skills.
Excellent written and verbal communication skills.
Excellent organizational skills with the ability to multi-task with regular disruptions.
Strong customer service orientation.
Demonstrate strong teamwork behavior.
Consistently display commitment to the values expressed in CIS mission and vision.
Understand and embrace diversity, equity and inclusion in thought, word and actions.
