Job Description

  • Performs a variety of responsible and complex administrative services for the Emergent Holdings Human Resources team, which includes responsibilities in the following areas: answer questions via telephone, email or in person from staff; preparation and dissemination of communication and correspondence; maintain a variety of files and records.
  • Assist in preparation of contracts, tracking, record keeping, summaries/reports and projects as assigned. Operate a variety of office equipment, including computers utilizing various software packages. This position will also assist in implementing department activities and communications, internal and external.
  • Maintain scheduling and event calendars for HR management team
  • Schedule and confirm appointments for HR management team
  • Maintains and updates Emergent Holdings organizational charts and ensure they are updated in the correct location.
  • Provide administrative support for immigration processing including preparing items for signature and mailing, preparing and maintaining public access files, processing charge backs to applicable departmental budget, maintaining electronic and paper immigration files, conducting audits to ensure updated I9 documentation is received and input into ADP.
  • Serves as the coordinator for the bargaining unit testing process
  • General administrative duties include mail distribution, filing, faxing and maintaining office supplies.
  • Will assist with scheduling candidate interviews and making travel arrangements as necessary
  • Will coordinate with SVP Executive Assistant to schedule HR monthly meetings and activities
  • Will assist the Talent Management team with on-boarding and off-boarding as necessary
  • Assists with coordinating office activities and maintaining confidentiality of information processed.
  • Prioritizes and follows up on information and incoming/outgoing requests, keeping HR management team updated as necessary.
  • Prepares agendas and collects and distributes materials for meetings and conferences
  • Make HR leadership travel arrangements as requested
    • Develop process and prioritize activities on a daily basis. To include daily conversations, email management, task lists and calendar management.
      Requirements
      • Three years administrative support experience or equivalent combination of education and experience.
