Job PurposeThe Legal Analyst is a valued member of the Records Management function within the Litigation and Investigations team. The Legal Analyst works collaboratively across the organization to ensure compliance with records management procedures and independently performs a variety of complex legal tasks.Essential Job Duties &ResponsibilitiesEvaluates records management systems to develop new or improve existing methods for efficient handling, protecting and disposing of business records and information.Reviews records retention schedules and government regulatory requirements to determine timetables for transferring active records to archival storage, for reducing paper records or for destroying unnecessary records.Evaluates cost effectiveness and legal or other risks associated with document retention strategies.Maintains and improves polices, processes, and procedures related to the management of Company records.Creatively solves problems and adheres to records management department's standard operating procedures while executing good judgment in escalating issues, as appropriate.Provides analytical and other support to ensure the proper implementation of compliance with Company records requirements. This entails identifying program needs and solutions; assisting in developing program objectives; measuring progress toward objectives; identifying problem areas; and evaluating, developing and implementing corrective actions.Ensures that company personnel are educated about records program principles and requirements; assists with the development and implementation of related training and awareness.Maintains a network of department custodians who oversee Company records, and works with such custodians to ensure that physical and electronic records are inventoried in the record-keeping, document management and other applicable systems in compliance with policies.Drafts letters, memoranda, reports, summaries and presentations. Delivers presentations.Tracks and evaluates industry trends, best practices, and improved methods or technologies related to records management.Assist attorneys and case management team with implementation and tracking of legal holds.Provides recommendations that could influence decisions having corporate and departmental impact, including policy or procedure recommendations.Works collaboratively across various Legal teams and builds and fosters relationships across the organization.Supports other records functions and knowledge management initiatives, as needed.Other DutiesSpecial projects as assigned.Other duties as assigned.Knowledge, Skills & AbilitiesKnowledge of SEC 17a-3 and 17a-4 regulatory recordkeeping rules and legal hold requirements (Preferred).Ability to track, research, analyze, and recommend action based on new rules and regulations.Strong verbal and written communication skills.Solid interpersonal skills and ability to establish and maintain effective working relationships with senior management and peers.Strong organizational, problem solving, and customer service skills, and the ability to handle multiple priorities in a fast-paced environment.Strong time management skills and ability to effectively manage projects.Strong problem-solving skills; flexibility and adaptability are fort with fast-paced, quickly changing environments.Detail-oriented and focused on accuracy.Ability to maintain a high degree of confidentiality and professionalism while operating in a collegial environment.Achievement oriented and enjoy taking on challenges.Ability to productively contribute to a team environment, and work remotely, if necessary.Ability to be proactive and take full ownership of the projects and tasks assigned.Demonstrated initiative and ability to work with little or no supervision.Open to feedback.Working knowledge of Microsoft Office software.Work experience with records management and document control activities.Experience in writing policies, processes and procedures.Experience in managing the lifecycle of records (all media types).Education and ExperienceQualificationsBachelor's Degree or equivalent experience required.3-5 years professional work experience in financial services or other highly regulated industry required.
